For a first attempt, use your own written notes. Ask AI to organize them into decisions, open questions, and next actions. This is a suggested workflow, not a verified feature of a particular service.
Prepare your notes
Remove information you cannot share with the chosen tool. Follow your team’s rules and obtain the appropriate consent before recording or uploading conversations. This example does not need an audio recording at all.
State the meeting topic and ask the tool to use only the supplied text. Make clear that an assumption must not become a decision.
Separate three types of information
| Section | What to check |
|---|---|
| Decision | Was it actually agreed? |
| Open question | Does it still need clarification? |
| Action | Are the owner and deadline known? |
If an owner or deadline is missing from the notes, leave the field empty and mark it for clarification. A tidy table should not hide an incomplete agreement.
Confirm the summary with your team
Compare the summary with the notes and show it to participants before using it. After corrections, transfer the agreed actions into your usual task list.
Microsoft’s guidance on clear expectations and response formats supports this way of briefing the task. The three-section structure itself is our teaching example.
