An agreement can contain several important dates: the end of its term, the next payment, a price review and the last date for a non-renewal notice. A single entry saying “contract ends in March” is little help if a decision is needed earlier.
AI can prepare a draft register with references to clauses. Its role here is to locate and organise text, not determine a provision’s legal effect, accept new terms or cancel a service.
Who benefits and what to produce
This guide is for small-business owners or administrators managing several maintenance agreements, equipment rentals or software subscriptions. The output is a list of verified events with a responsible person and separate internal reminders. It is an editorial method, not legal advice or an automation tested by Nadali.
Start with one straightforward agreement. A dispute, ambiguous provision, significant amount or unclear notification procedure calls for an appropriate professional. A neatly completed table does not remove that need.
1. Assemble the applicable documents, not a random PDF
Keep the agreement, schedules, amendments and documents it references. Record the name, version, date received and storage location. If the applicable version is unknown, leave an open question: the model must not independently select the “newest” file.
Check scan readability and missing pages. Retain a short exact extract with the clause and page number, rather than only a summary. Where possible, link to a controlled copy that cannot silently change.
Use only an environment approved for these materials. Remove unnecessary personal details, signatures and account information, while remembering that commercial terms themselves can be confidential. If transfer is not permitted, fill in the register manually.
2. Use one row per event
Do not compress every condition into one date. For each event, use these suggested fields:
- agreement and version;
- event type: term end, potential renewal, notice, price change or payment;
- original wording, clause and page;
- explicitly stated date or the rule for determining it;
- time unit, time of day and time zone, where provided;
- unresolved questions;
- owner, verification status and checking date.
Separately record whether automatic renewal is mentioned and under what stated conditions. “Not found in the supplied materials” does not mean “there is no automatic renewal.” Likewise, an invoice date does not replace a notice deadline.
Ask the model to use the statuses “found”, “not stated”, “unreadable” or “conflict”. A conflict needs both extracts. Do not let a confident summary conceal it.
3. Separate extraction from calculation
First, a person checks the original wording. Then, where the rule has been unambiguously confirmed, a separate calculation converts it into a date. Retain the inputs, rule and result together. A confident AI response is not verification: NIST describes plausibly expressed errors and recommends checking sources and citations.
Do not substitute calendar days for business days or add your own holiday list. Excel’s WORKDAY.INTL documentation shows that results depend on specified weekend days and dates excluded as holidays. The function calculates from supplied parameters; it does not establish which parameters match your agreement.
If business days are undefined, inclusion of an endpoint is unclear or documents conflict, do not approve a calculated date. Record a question for review.
4. Preserve time information in the calendar
Keep an unambiguous date such as 2027-03-01 beside the original wording. If the document specifies a time and time zone, transfer them without assumptions. If no time is given, do not invent 23:59.
RFC 3339 describes timestamps containing a date, time and UTC offset. It is a technical reference for data exchange, not a rule for interpreting agreements. For a future calendar event, also check the calendar’s own time-zone settings.
Create an internal event with a neutral title such as “Review decision on agreement A”. Do not automatically invite the supplier or place a confidential extract in a publicly visible calendar.
5. An illustrative example without legal calculation
In fictional document set A, a person has already confirmed two explicitly stated dates: the current term ends on 2027-03-31, and the notice-receipt deadline is 2027-03-01. We are not deriving one date from the other or proposing model contract language.
The register keeps two rows linked to different source clauses. The owner chooses 2027-02-15 for an internal discussion. This is their operational buffer, not a contractual deadline or a universal recommendation.
If the team knows only that “the letter is prepared”, notice status does not become “received”. Separately check the approved method, recipient and evidence of the completed action. The register itself sends nothing and does not confirm termination of service.
6. Check reminders and ownership handover
After manual transfer, open the calendar event and check the year, date, time zone, owner and visibility. Test notifications with a harmless test event. Do not claim a reminder will work simply because a row appears in a spreadsheet.
Assign a backup owner and review upcoming events regularly. After an agreement changes, update related rows and reminders with a change log; retain the previous basis. For a planned AI-supplier change, separately check workflow portability.
Takeaway and limitations
A useful register shows evidence, uncertainty and the decision owner, not just a date. AI prepares a draft; a person checks the meaning and calculation. Sending a notice, accepting terms, renewing or cancelling remain separately approved actions.
The method does not guarantee that no deadline will be missed or that a notice is legally effective. Nadali has not analysed real agreements or tested calendar integrations. Primary technical sources were read on 3 November 2026.
